Quick user guide
Track your time across Pharmacy Innovations subsidiaries and export a clean monthly list to paste into the Intercompany Time Tracker sheet.
Getting started
- Sign in with your PI Microsoft account (same login as Outlook / SharePoint).
- Set your display name. Top-right corner of the page. Click your name, type "First Last", click OK. It's used in the Employee Name column of the monthly export.
- Bookmark this page (or click "Install this app" in Edge/Chrome to add it as a desktop app).
- Your data syncs to the cloud tied to your PI account, so it follows you across browsers and devices.
Dashboard tab
At-a-glance view:
- Today / This week / This month totals
- Time by Company — which subsidiaries got your hours this month
- Time by Department — which departments this month
- Last 30 days — daily bar chart, hover a bar for the exact hours
Track tab — starting a task
- Fill in Description (what you're doing)
- Pick Entity — a single company, or an allocation group if the work should split across several
- Pick Department
- Add Notes if useful (optional)
- Click Start task
The running task shows up in Active tasks underneath. From there you can:
- Pause — timer stops until you click Resume
- Resume — starts a new timing segment
- End — closes the task; it moves to History
Close open tasks for day (button in the Active tasks header): a one-click end-of-day cleanup. Any paused tasks close at their last pause time. Any still-running tasks close at "now". You'll get a confirmation prompt showing exactly how many of each will be closed.
Templates — for tasks you do often
If you do the same task frequently (a weekly call, a recurring meeting, a regular QA review), save it once and re-use in one click:
- Fill in Description, Entity, and Department the first time
- Click + Save current as template
- Next time, pick it from the Use a saved template dropdown — the form fills automatically
- Click Templates to delete templates you don't need anymore
Allocation groups — splitting one task across multiple companies
Use a group when the same block of work benefits several entities and you want the time split by percentage — for example, payroll across all pharmacies, or a task shared 50/50 by two companies.
- On the Track tab click Groups
- Give the group a name (e.g. "All Pharmacies"), add members with weights that add to 100%
- Save. The group now shows up in the Entity dropdown alongside single companies.
- Pick a group when starting a task — Month End automatically splits that task's minutes across members by weight.
History tab — reviewing and fixing past tasks
- Pick From and To dates — the list refreshes automatically (newest at top)
- Show descriptions toggles the full task description under each row
- Edit — opens the full editor. You can change description, entity, department, task date, notes, and each timing segment's start/end time
- Reopen (on ended tasks only) — puts a task back into Paused so you can go to the Track tab and Resume to add more time
- Delete — removes a task permanently (with a confirm)
- Add manual entry — for tasks you did without the timer running
- Add monthly task — for recurring work where you already know the total time for the month (e.g. weekly payroll ≈ 17 hrs/month). Creates one task on the last day of the month.
Month End tab — the whole point
End of every month, hand your time off to accounting:
- Pick Year and Month (defaults to this month)
- Click Generate
- Review the summary table — check the totals look right
- Click Copy to clipboard
- Open the Intercompany Time Tracker spreadsheet
- Click the first empty cell in the Date column
- Right-click → Paste Special → Values only (or Paste as text only). Do not use Ctrl+V — that pulls in the app's formatting.
The columns match the sheet exactly: Date · Employee Name · Company · Department · Project / Task Description · Minutes Spent · Notes. Rows are aggregated as one summary line per company × department for the month (Description reads "Time for month of July 2026" etc.), which matches how the Intercompany sheet expects them. Group tasks are split across their members automatically.
Common questions
My name shows something wrong. Click the name in the top-right corner, type what you want, click OK.
I need to fix start / end times on a past task. History tab → find the row → Edit. The modal lets you change every segment's start and end.
Where does my data live? It's saved to private cloud storage tied to your PI Microsoft account. Sign in from any browser or device and your tasks, templates, groups, and settings follow you. A local copy is also kept in your browser so the app works instantly and survives brief network hiccups.
I forgot to end a task before I left yesterday. Two options: (a) History tab → Edit → set the correct end time on the segment, or (b) if you noticed it the next morning, use Close open tasks for day on the Track tab — paused tasks close at their last pause time automatically.
I ended a task but need to log more time to it. History tab → find the row → click Reopen. It goes back into Paused. Head to the Track tab and click Resume to keep logging time.
I have a monthly total already calculated (like weekly payroll ≈ 17 hrs). History tab → Add monthly task → enter description, entity, department, and total hours+minutes. It drops a single task on the last day of that month.
The sync pill in the header is red. "Offline" means the API blipped — click the pill to retry. "Session expired" means your sign-in timed out — click the pill to sign in again.
I signed in with the wrong account. Click Sign out in the top-right, then sign back in with the correct account.
App looks stale or missing a new feature. Hard-refresh: Ctrl + Shift + R. Updates deploy automatically but the browser sometimes caches the old version.
End of month export
Column order matches the Intercompany Time Tracker sheet: Date · Employee Name · Company · Department · Project / Task Description · Minutes Spent · Notes.
Important: in the target spreadsheet, click the first empty cell in the Date column, then right-click → Paste Special → Values only (or Paste as text only) so nothing gets mangled.
Choose a month and click Generate.
